What we collect
What you send us
- A project request. Your name, email, company, and what you need. If you add them: a phone number, quantities, a date, files such as a logo, whether you're already a customer and who your rep is, and how you heard about us. Some of our forms have two steps: when you press Continue on the first, the name, email, company, and description you entered are saved so we can follow up, even if you don't finish the second. And once you've typed an email address into one of our project forms, what you've entered is also saved if you leave the page without pressing Continue or Send, or if the form can't be sent (a file that won't upload, for example), so we can still follow up. Nothing is saved before an email address is entered, and files are only kept once they finish uploading.
- A store or sample request. The products, colors, quantities, decoration choices, artwork, notes and contact details you choose to send. An order request also includes your delivery address, requested date and any carrier account number you provide. Contact and delivery fields stay on the checkout page until you press Send order request. Requests and artwork links go to the Proforma team through our email service, and a receipt goes to the email address you provide. No card details are collected in this store.
- Files you send. On the Send a file page: your name, email, company, the files, who they're for, and any order number or note you include.
- A job application. On the Careers page: your name, email, phone number, the position, your resume, and anything else you choose to add.
- A call or an email. Whatever you tell us.
Please don't send patient information or other sensitive personal details through these forms. If your project involves a list like that, call us and we'll arrange a secure way to receive it.
What's noted as you use the site
- Your shopping selections. Your cart, saved products, comparison list, recently viewed products and copies of submitted product selections can stay in this browser so you can return to them. Saved request copies contain product options and artwork file references, not your checkout contact or delivery address. The store reads product addresses to show your saved and recently viewed items and related recommendations. You can remove saved selections in the store or clear this site's browser storage. They do not sync between devices.
- How you found us. When you send a form, it includes how you reached the site (a search, an ad, or a link from another site, for example) and the pages you looked at on that visit. That note is kept in your browser tab only and is erased when you close it. If you never send a form, it never leaves your device.
- Your country. The company that hosts this site works out which country a visit comes from (two letters, nothing more exact), so we know which cookie rules apply to you.
- Measurement. When measurement cookies are on, Google Analytics records which pages are viewed, how far people read, and which buttons get used. Microsoft Clarity records how a page is used (where people click, scroll, and get stuck), which we see as heat maps and as a playback of the visit. Our forms are hidden from those recordings. Metricool, the tool we plan our social media posts with, counts visits: it is sent the address of the page, the size of the browser window, and the page a visit came from.
- Advertising. When advertising cookies are on, tags from Google, Meta (Facebook and Instagram), and LinkedIn note that your browser visited this site and whether a visit led to a request. Google's tag can also send Google a scrambled version of the email address you enter in a form (explained just below this list).
- Video. A customer video is a still picture until you press play. Then it plays from YouTube, which receives the same technical details any website you visit does.
- Basic technical records. The company that hosts this site records each request it receives (the internet address it came from, the browser, the page, and the time) to keep the site running and secure.
We don't send Microsoft, Meta, or LinkedIn anything you type into a form. Google is the one exception, and only for your email address: when advertising cookies are on, Google's tag can send Google a scrambled (hashed) version of the address you enter. The address itself is not sent. Google can match the scrambled version to a Google account that uses the same address, which is how a request gets connected to the ad that led to it. Your name, phone number, company, and message are not sent to Google.
The cookie notice explains each of these, names the cookies, and says when the optional ones are on or off.
Those companies also use what their own tools collect for their own purposes, which can include advertising. Each one's policy says how: Google, Microsoft, Meta, and LinkedIn.
What we do with it
- Answer your request, prepare a quote, and make and deliver your order.
- Consider an application for a job.
- See which pages are useful and fix the ones that aren't.
- Measure our advertising, and show our ads to people who have visited this site.
- Send occasional ideas and offers by email, if you ticked the box asking for them or you've become a customer. Sending a request doesn't sign you up, and every one has an unsubscribe link.
Who else sees it
We don't sell your personal information. It is shared only with:
- Companies that run parts of this site for us: hosting and file storage (Vercel), email delivery (Resend), our customer records (Airtable), measurement (Google and Microsoft), and advertising (Google, Meta, and LinkedIn). Each gets only what its job needs.
- The software we run the business on: our email, our customer records, and our order systems, where your request and your order are kept.
- The production partners who make and ship your order: your artwork and the delivery details.
- Authorities, when the law requires it.
- A new owner, if the business is ever sold or merged. This policy would continue to apply to what we already hold.
One plain note about advertising: the advertising cookies let those platforms recognize that a browser has visited this site, so our ads can be shown to it later, and Google can receive the scrambled email address described above. Some privacy laws call that “sharing”. You can turn all of it off at any time (see “Your choices” below).
How long we keep it
- Requests reach us as email and are kept as business records for as long as they're useful to the work or the law requires. Requests that weren't finished are kept the same way in our customer records. Ask and we'll delete yours.
- Files you upload are held in private storage, reachable only through the links in our own email, until we delete them. Ask and we'll delete yours.
- Resumes are kept so we can consider you for the position and for later openings. Ask and we'll delete yours.
- Measurement data is kept by Google Analytics for 14 months.
- Your cookie choice is remembered for 180 days.
Your choices
- Cookies. Use “Cookie preferences” at the bottom of any page to see what's on in your browser and change it. If your browser sends the Global Privacy Control signal, we treat that as a no automatically.
- What we hold about you. Ask us what we have, to correct it, or to delete it. Call or email and we'll take care of it, unless we have to keep something to finish an order or meet a legal requirement.
- Marketing email. Unsubscribe from any one of them, or tell us and we'll stop. Like most senders, we can see whether one of these emails was delivered and opened and which links in it were clicked, so we know what was useful.
Depending on where you live, your state's law may give you more rights over your information. Contact us the same way to use them.
Children
This site is for businesses and organizations. It isn't directed at children under 13, and we don't knowingly collect information from them. If you believe a child has sent us something, tell us and we'll delete it.
Security
The site is served over an encrypted connection, and uploaded files sit in private storage that can only be opened through links we generate. No way of sending or storing information is perfectly secure, so we can't promise that nothing will ever go wrong.
Other sites we link to
Some links lead to sites run by other companies: our product and display catalogs, the customer login, our social media pages, YouTube, and Google. Their own privacy policies apply there.
Changes to this policy
When what we do changes, we'll update this page and the date at the top.
